Availability

Availability allows you to check if an Item is available for hire by providing a list of items from the same item category.  If you are looking to book a particular item and the item has already been booked out, then Availability makes it easy to choose an alternative item of the same category.

How to lookup an item's availability

  1. From the Main Menu click the Availability button located on the top left side.
  2. Select the category from the Lookup Item Category box and all items belonging to that category will be displayed.
  3. The date range displayed will default to the current date, but you can view a different date range by clicking the drop down arrow on the Select Date FROM box.  A full week is displayed starting from this date.  The arrows to the right of the date will advance you forward or back one day, week or month at a time.  Bookings are shown as orange bars and Invoices are shown as green bars.  Items out on service are shown as red, and contracts are shown as green.

How to view details of an existing booking or invoice

  1. Click the coloured booking/invoice bar to show the date, booking/invoice number and the customer name.
  2. Click Yes to open the Booking/Invoice window and view or edit any details if required.
    Click No to return to the Availability window.

Example:  You own an equipment hire business and a customer enquires as to whether you have a Dingo Digger available for next Saturday.  You click the Availability button on the Main Menu to show the Availability window and then select the Dingos category.  All Dingos are shown in the list.  You can see that Dingo Digger 2 has been booked for Saturday morning to Sunday morning so you offer the first Dingo to the customer as an alternative.

How to view more items on the screen at once

You can use any combination of the following methods to view more items on the screen at once.

  • Click the window maximize button in the title bar at the top of the screen.
  • Click the up/down arrows on the right of the screen (above the scroll bar).
  • Click the Week or Month buttons to change the layout.
  • Click View > All Hire Items to ignore the category filter and show every single hire item on the screen.  This is particularly useful when then are a small number of item categories.
